The unloading site knows the new window before the truck pulls up

Two people are waiting at the dock, asking where shipment 40218 is. The question lands on one number at your planning desk, and when you change the window, the update reaches them automatically.

How it works today

Where planning loses the day

  • Planning calls the driver, the driver can't pick up, and meanwhile the customer is calling planning.
  • Damage reports arrive as photos on one planner's personal phone, where nobody else can see them.
  • "Where's my shipment?" is the most common question of the day, and the answer is on the same screen every time.
  • A changed window reaches the unloading site only once the truck is already at the gate.
The trip

From booking to follow-up

Booking

A client books a shipment and immediately gets questions about the delivery address, the window and the on-site contact.

Planning

Once the trip is set, the window and the trip number go out as a message to the contact at the unloading site.

On the road

If traffic or a long wait at the previous stop pushes the window back, the unloading site hears before anyone calls.

Delivery

On arrival the confirmation goes into the conversation, and a photo of the unloaded freight can go straight with it.

Follow-up

If there's damage, the photo, the description and the time all sit with the trip number in that same thread.

What carriers do with it

A typical week

Damage report with a photo

Damage comes in as a photo with a short description and stays with the trip number, timestamp included.

Where is my shipment

The status update comes in through Zapier or a webhook and goes out to the unloading site as a message.

A shifting window

The moment planning changes the window, the new one reaches the contact for that trip.

One number for planning

Planners work in the same inbox, see who picked up a trip, and assign a conversation to a colleague.

Paperwork in the thread

A packing slip, a shot of the seal number or of the signed consignment note sits with the trip it belongs to.

Tomorrow's round

Customers with a fixed delivery day get their window the evening before, from a list you put together yourself.

Six examples from the planning desk. Anything else you want to share with clients and unloading sites, we'll add.

Integrations

What your planning system passes on

Your planning system or TMS sends a status change or a new window to Zapier or a webhook, and the flow sends a message with the trip number. There is no direct TMS connector, so this step always runs through Zapier or a webhook. You can only message a customer first once they've given permission, which you record on the contact. If your planning software isn't covered yet, tell us and we'll build the connection to the system you use today.

Price

What it costs

Automations come with every plan, integrations start at Growth. Meta charges separately for each message you send, with no markup from us.

Frequently asked questions

About WhatsApp for your transport business

Yes. The number moves to Meta's official WhatsApp Business Platform, with your business name and logo. Clients keep messaging the number they already know.

The WhatsApp Business app on your phone keeps working, and a one-time import brings over up to 180 days of chat history.
